Coordinating five different contractors across four buildings consumed a disproportionate amount of one coordinator's time, and minor maintenance issues spotted during cleaning visits were going unreported because no contractor felt it was their job to flag them.

- Set a standing rule that any crew on site reports visible maintenance issues, logged centrally rather than left to individual initiative
- Aligned visit scheduling across buildings so the coordinator deals with one calendar instead of five
- Provided a single monthly summary covering all service lines instead of five separate contractor reports
